Before an AI Uses a Record, Ask Whether It Is Eligible

An AI assistant does not need every available record. It needs data that satisfies the requirements of the task it is about to perform.

Available data is not automatically usable data

A database can answer a query and still return a record that is stale, incomplete or unsuitable for the decision at hand. Access proves that a consumer can read the value. It does not prove that the value is fit for a declared purpose.

This becomes more important when an AI assistant acts quickly across many records. A confident answer can hide the fact that the underlying data missed a required field, freshness limit or supported relationship.

Declare the requirement before evaluating the record

Start with the task. Name the approved tables and fields, the freshness window, the relationships that must hold and the conditions that make a record acceptable. These requirements should be bounded and understandable to the owner of the workflow.

Eligibility is specific to that request. A record may be sufficient for a low-risk summary and unsuitable for a governed operational action. Avoid turning one eligibility result into a claim that the record is universally correct.

Illustrative example: a support assistant preparing a renewal answer

Illustrative example, not a live Refinery result: a support assistant needs an account tier, a current renewal date and a supported relationship to the contract owner. The account exists, but its renewal date is outside the declared freshness window.

A useful eligibility check returns the reason the record is not ready instead of silently filling the gap. The assistant can then ask for review or use a safer workflow. Uncertainty remains visible to the person responsible for the decision.

Where the optional Refinery gateway fits

Refinery's core direction is source improvement: connect, understand, repair through authorization, prove with a fresh source read and continue monitoring. Existing applications can keep reading the operational database directly.

Applications and external AI assistants may later choose a read-only Refinery gateway that evaluates data against their declared requirements. Only consumers using that optional path receive the eligibility check. The gateway, API and MCP access are planned capabilities and are not publicly released today.
